Remote accounting can support agreed bookkeeping, document exchange and reporting. Accuracy, timing, fees and tax outcomes depend on complete records, review, taxpayer eligibility and engagement scope; remote delivery does not guarantee a faster or cheaper return or lower tax. Table of Contents
1) Monthly Close & Reconciliations
Agree on the accounts, periods, reconciliations, reporting basis and review procedures included in the engagement. Organized reports remain subject to lender requirements and do not guarantee financing.
2) Digital Receipt Capture
Digital receipts and organized records support substantiation, but a receipt alone does not establish that an expense is deductible. Retain records showing the business purpose, amount, timing and any additional facts required for the deduction.
3) Document Exchange & Signatures
Confirm the document-exchange and signature methods available for your engagement, including identity checks and applicable form requirements.
4) Reporting & Job/Property Tracking
Job, class or property reporting may help assess performance when supported by the software configuration and properly assigned records. Agree on available reports and update frequency; remote delivery alone does not establish real-time reporting.
5) Proactive Tax Planning (Mid-Year & Q4)
Review projections during the year using the taxpayer's entity, tax year, withholding and estimated-payment requirements. Planning can identify eligible options and payment needs, but does not guarantee a lower balance due. Filing and payment dates differ by return type and fiscal year.
6) Entity Design & Maintenance
Discuss whether entity-tax-classification, payroll and owner-transaction reviews are included, and agree on their frequency and scope.
7) IRS Representation
An enrolled agent may represent taxpayers before the IRS within the authorized scope. The appropriate authorization must identify the taxpayer, tax matters and periods; state-agency representation follows separate rules.
For business recordkeeping guidance, review IRS Publication 583. Agree the records needed for your remote accounting engagement and how unresolved items will be communicated.
Remote Accounting FAQs
Is remote accounting secure?
Assess the provider’s documented document-handling procedures and available safeguards before sharing information. Remote delivery alone does not establish encryption, access controls or a particular security outcome.
Will remote bookkeeping work if I use cash and cards?
Cash and card transactions can be recorded when complete supporting records are provided. Confirm which feeds, receipt tools and reconciliation procedures are available and included; review remains necessary.
Can remote accounting help with tax-season preparation?
Maintained records may reduce missing-information requests. Completion still depends on record quality, return complexity, review and approvals; no faster turnaround is guaranteed.
