Accounting Workflow Technology: Invoices, Records and Review

An accounting workflow connects source records, transaction entry and review. Technology can assist the process, but the useful result depends on the underlying records and the people checking them.

1) Start with invoices and source records

Identify who supplies invoices, receipts and statements and how they are associated with transactions. Keep the business, period and purpose of each record clear.

2) Review imported activity

Compare imported transactions with the source records and investigate missing, duplicated or unclear items. Agree who makes corrections and how changes are documented.

3) Agree how the workflow will be used

Identify who supplies records, who reviews imported transactions and who receives the reports. Agree how errors will be reported and how records will be returned when the engagement ends.

4) Confirm software compatibility

List the software, subscriptions, exports and accounting tasks involved. Confirm compatibility and responsibilities with the provider before setup; do not assume that every integration is available.

5) Define workflow reporting dates

Agree the reporting period, data cutoff and review schedule before using a report for a decision.

Additional tax and recordkeeping considerations

Report availability and freshness depend on data imports, posting, reconciliation and review. Confirm the reporting date, update frequency and available software tracking features before using a dashboard for decisions.

Discuss your accounting software, integrations and subscriptions with our office. Agree on compatibility, the close calendar, request-handling process and point of contact before setup.

The start date and cleanup schedule depend on available records, access, transaction volume and the agreed engagement. Confirm milestones and reporting dates before work begins.

A practical workflow handoff checklist

Before the first reporting cycle, agree where statements and receipts will be uploaded, how missing items will be requested and who will answer questions. Include the business name, reporting period and a short explanation with each unusual transaction. Keep a list of unresolved items so the reviewer can distinguish completed work from information still needed.

At handoff, ask which accounts have been reconciled, which balances need support and which reports are ready for management review. Record the cutoff date and any limitations alongside the reports. For business recordkeeping guidance, see IRS Publication 583.
